1. Who we are
Evante Technologies operates VisaCopilot. In this policy, “we”, “us”, and “our” mean Evante Technologies. This policy covers personal information processed through our marketing website and mobile app, including waitlist signups, accounts, purchases, document preparation, and AI interview practice.
VisaCopilot initially serves users in India. We will review and update this policy before expanding into additional markets.
Privacy and support: [email protected]
2. Information we collect
- Contact and account information: details you provide to sign up, manage your account, or contact support. Our website waitlist collects your email address, selected visa type, and consent to receive updates.
- Applicant and document information: visa profiles and files you upload, including application forms and supporting records. These may contain identity, passport, family, education, employment, travel, and financial information, including information about other people.
- Practice information: interview answers, voice audio, transcripts, session history, scores, coaching, and feedback. We also process information extracted from your uploaded documents to support preparation.
- Payment information: the plan purchased, credit balance, transaction references, payment status, and billing details. Payment providers process the payment credentials you supply to them.
- Technical information: device and browser details, IP address, website visits, interaction and conversion events, and diagnostic records needed to operate and troubleshoot the service.
- Preferences: saved practice preferences and, where introduced, separate choices about marketing communications and optional AI improvement.
Only upload information that is relevant to your preparation and that you are entitled to share. Where your documents include another person’s information, obtain any permission required to share it with us.
3. How we use information
We use your information to create and manage your account, review documents for preparation, personalize mock interviews, generate transcripts and feedback, maintain practice history, process purchases, manage credits, and respond to support requests.
We also use information to maintain service reliability, investigate technical problems, prevent abuse, meet legal and accounting obligations, and understand website traffic and conversions. If you join the waitlist or opt into marketing, we use your contact details to send the updates you requested. You can withdraw that marketing consent by emailing us.
Where consent is required, we request it for the relevant purpose. Refusing optional AI improvement consent does not prevent you from using interview preparation. Information necessary to perform an interview or analyze a document must still be processed to provide that feature.
4. AI processing and optional improvement
VisaCopilot sends relevant applicant information, document content, interview audio, and answers to AI processing providers to provide document extraction, voice interviews, transcription, coaching, and feedback. This processing is needed for the features you choose to use; it is separate from optional training or improvement.
Separate, optional improvement consent
Optional improvement would be off by default and require a separate opt-in. Declining it would not prevent access to core preparation. An improvement program and its consent control are not currently available.
Before any improvement program starts, the opt-in must identify the recipients, purpose, eligible data, retention period, any human review, and how to withdraw. Consent to store audio recordings is a separate choice and does not, by itself, give permission to use those recordings for AI improvement.
Data exclusions: full uploaded documents, raw voice recordings, passport and other government identifiers, financial account details, and personal information about family members would be excluded from improvement datasets. We would favor synthetic examples or separately reviewed, minimized and redacted examples. Redaction must be checked; removing a name alone does not make an example anonymous.
Withdrawal has limits: it would stop future optional use and trigger review of retained improvement examples. It cannot necessarily undo completed training or remove a model’s previous learning. That consequence must appear directly at opt-in, before consent is given. Deletion and withdrawal requests can be sent to [email protected].
VisaCopilot’s optional-use policy does not establish a processing provider’s account settings or permitted uses. Provider-side uses depend on the applicable agreements and account controls.
5. Voice recordings and provider retention
“Don’t store recordings” does not mean “save nothing”
A voice interview still requires microphone access and live audio processing. Transcripts, answers, scores, and feedback are separate records and may be saved. Changing a recording preference does not delete existing preparation records.
The candidate web release currently saves practice preferences, but playback recording storage is not available and turning off the transcript preference does not currently prevent transcript storage. These preferences are not deletion controls. The recording-storage opt-out must be enforced wherever recording storage is introduced, and the distinction above must be shown beside that control.
Provider retention is separate from VisaCopilot playback storage. Processing providers may retain information for security, abuse prevention, or service operation. Retention periods, exceptions, and available controls depend on the service and account configuration. A recording toggle or an application-storage setting does not establish that those controls are enabled.
6. Providers and sharing
6.1 Service providers
We may share personal information with third-party providers that perform functions needed to deliver and operate VisaCopilot, including infrastructure and file storage, AI processing and transcription, payment handling, communications, customer support, security, and website measurement.
We limit the information shared to what is needed for the relevant function. Providers process that information subject to applicable agreements, confidentiality obligations, and data protection requirements. Sharing information to deliver the service does not authorize optional AI training or improvement; the separate consent requirements in section 4 continue to apply.
6.2 Authorized access
Access by our staff is limited to authorized purposes such as providing support, operating and securing the service, meeting legal obligations, or performing optional improvement work you have consented to.
6.3 Legal requirements and protection of rights
We may disclose information to comply with applicable law or a lawful request, investigate fraud or misuse, or protect the rights, safety, or property of users, the Company, or others.
6.4 Business transfers
Information may be disclosed or transferred in connection with a merger, acquisition, reorganization, or sale of our business or assets, subject to appropriate confidentiality and data protection safeguards. Any new use that requires your consent will be presented separately.
6.5 Organization access
After you accept an organization invitation, active authorized staff of that organization can view organization-associated applicant profiles and facts, uploaded document details and extraction results, funded interview activity, saved answers and transcripts, scores, and feedback. Organization owners and operations staff can also manage relevant profiles, facts, document uploads, and credit allocations. Do not treat organization preparation records as visible only to you.
These routes are scoped to the accepted organization relationship. They do not grant access to every applicant’s personal account or unrelated organization data. The current document view exposes document details and extraction results; this disclosure is not a claim that it offers a file-download or audio-playback feature.
8. Retention and deletion
12-month preparation-data limit
The intended maximum is up to 12 months from upload for documents and attributable extracted preparation data, and up to 12 months from the interview for stored audio, transcripts, answers, scores, and feedback. Earlier deletion requests would still be available. This is a planned limit and does not describe a cleanup process currently available in the service.
The intended limit includes active application copies and attributable derived preparation datasets under our control, including any eligible optional-improvement examples. Copying document-derived information into a profile would not restart its retention clock. Consent to optional improvement would not extend the preparation-data limit.
What document deletion removes—and what can remain
The current document-delete flow deletes the document record, its linked DS-160 extraction record, and requests removal of the uploaded file from storage. Applicant facts already copied into a profile, previous interview context, transcripts, answers, scores, and feedback are separate records and are not automatically removed by that action.
Expanded deletion choice: “Delete document and associated data” would show the affected facts and records before confirmation. It must explain whether information also came from another document or a manual edit, and must not silently delete unrelated documents or an entire interview history. This expanded choice is not yet available in the current release.
For a broader deletion request, contact [email protected] and identify the document, profile, session, or account scope you want removed. We may verify your identity. The response should identify what was deleted, any information retained, its reason and scheduled expiry, and any provider request awaiting completion.
Backups, providers, and other records
Active storage, recovery backups, provider-held copies, and legally required records have different deletion processes. The intended approach is to remove active preparation data by its deadline, isolate deleted data in backups from routine use, expire it under a confirmed backup schedule, and reapply deletion records if a backup is restored. Backup expiry periods and provider deletion limits have not yet been confirmed.
Provider copies follow the separate controls described in section 5. The 12-month limit does not mean an in-app delete immediately erases provider logs or backups.
Account, waitlist, billing, support, and security records need their own documented schedules and legal exceptions. API diagnostic logs are configured for a 30-day expiry when enabled; this does not establish a 30-day limit for every record or backup. Any permitted legal retention must be limited to its stated purpose and must not authorize optional improvement.
Interview credit balances are separate from preparation records. Deleting preparation data or reaching a preparation-data deadline does not, by itself, expire individual purchased credits. Account-closure treatment is explained in Terms of Use section 10.
9. Your choices, requests, and complaints
You can delete uploaded documents in the app, change the available practice preferences, and ask us to correct or delete preparation information. Recording storage, transcript storage, optional improvement, and marketing are separate choices; changing one does not automatically change the others.
Email [email protected] with the email associated with your account and the scope of your request. Do not send passwords or unnecessary copies of identity documents. We will explain verification and any applicable limits. This address is also the initial route for privacy complaints.
Response targets: acknowledge a privacy, correction, deletion, or complaint request within 7 calendar days and provide a resolution or reasoned progress update within 30 calendar days. If more time is needed, explain why and provide a revised date. A shorter period required by applicable law takes priority. These are planned service targets, not current guaranteed response times.
Withdrawal from optional improvement or marketing would not affect core preparation. Withdrawing consent to processing needed for a requested feature may make that feature unavailable. Applicable rights and complaint routes remain unaffected.
10. Security and international processing
We use safeguards intended to restrict personal information to authorized purposes. No internet transmission or storage system can be guaranteed completely secure.
The service uses infrastructure and file-storage providers, AI processing services, payment processors, and email-delivery services. Storage and processing locations and retention arrangements depend on the services and configurations used.
Providers may process or store information outside India. Serving Indian users is not a promise that all processing happens in India. International processing must follow applicable requirements; we do not claim a specific residency arrangement that has not been verified.
11. Age requirement
VisaCopilot is intended for people aged 18 or older. We do not knowingly offer accounts to, or collect personal information directly from, children under 18. If you believe a child has provided information to us, contact us so we can investigate and take appropriate action.
12. Changes and contact
When this policy changes, we will update its effective date and provide additional notice where appropriate or required by law. A policy update does not replace consent needed for a new optional use of personal information.
For privacy questions, consent withdrawal, deletion requests, or complaints, contact Evante Technologies at [email protected].
